Grievance Officer

If you have a concern or complaint about how Instione handles personal data, our Grievance Officer will look into it. We have appointed a Grievance Officer as required by the Digital Personal Data Protection Act, 2023 and its Rules, and by the Information Technology Act, 2000 and the rules under it.

What to include

To help us act quickly, please tell us:

  • your name, and the email address or phone number we can reach you on;
  • whether you are a website visitor, someone who contacted us, an institute’s administrator or staff member, or a student, parent or guardian of an institute that uses Instione (and, if so, which institute);
  • what your concern is, with any dates, screenshots or reference numbers that help;
  • what you would like us to do.

We may need to confirm your identity before acting on a request about your personal data. We will not ask for more information than we need.

How quickly we respond

  • We acknowledge every grievance within 2 working days.
  • We resolve it and send you our response within 15 days of receiving it. If a matter is complex and needs longer, we will tell you why and when to expect an answer.

There is no charge for raising a grievance.

If your data is held by an institute

If you are a student, parent, guardian or staff member of an institute that uses Instione, that institute decides how your records are used; it is the data fiduciary and we process the data on its behalf. Please contact the institute first. If you write to us, we will pass your grievance to the institute without undue delay and help it respond.

If you are not satisfied

If you are not satisfied with our response, or we have not responded within 15 days, you can complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023. The DPDP Act asks you to use our grievance process first.
