Cookies & tracking
This page explains the cookies and similar technologies (such as your browser’s local storage) that Instione uses on instione.com and in the app at manage.instione.com, and how you can control them. It supplements our Privacy Policy.
In short
- By default we use essential cookies only. The one cookie our website sets before you choose is
instione_consent, which remembers your choice. - We measure the website without cookies until you choose. A small cookieless beacon counts page views, button clicks and page speed, without storing any identifier on your device.
- Analytics cookies and session replay run only if you click “Accept analytics”. You can change your mind at any time with the “Privacy choices” link in the footer.
Before you choose: essential only, cookieless measurement
When you first visit, our full analytics script (posthog-js) is not loaded. Instead, a tiny first-party script sends a few events straight to PostHog, our analytics provider:
- page views, clicks on our main buttons (for example “Start free”, “Book a demo”, “Log in” or “Contact”), and page-speed measurements (web vitals, such as how long the main content took to appear);
- whether a demo booking was opened or completed, whether the contact form was sent (with the institute size band only), and which feature, solution, pricing and resource pages were viewed;
- each page load uses a new random ID that is kept only in memory and thrown away when you leave the page, so visits cannot be linked together;
- no cookies and no localStorage or other browser storage are used, no person profile is created, and nothing is recorded about what you type.
Your IP address is used by PostHog only to work out an approximate location (such as the country or city) and is not stored: we configure our analytics to discard IP addresses. We use these events only in aggregate — for example, to see which pages are useful and whether the site is fast.
If you click “Accept analytics”
We then load PostHog’s analytics script, which:
- stores a random identifier in a cookie and in localStorage (named
ph_…_posthog, kept for up to 1 year) so that it can recognise your later visits and measure which pages lead to a sign-up or demo; - turns on session replay — a recording of how you move through our pages (clicks, scrolling and page changes) — with all input fields masked, so what you type into any form, including the contact form, is never recorded;
- adds the same random identifier (
ph_did) to Start free and Log in links to manage.instione.com. Today it is only added to those links after you accept analytics; it will be used to connect a website visit to sign-up once self-serve sign-up launches.
We use this only to understand and improve our website and product. We never use it for advertising, and we never sell it. Analytics data is kept for up to 12 months, and session recordings for up to 30 days.
If you click “Reject”
Nothing changes from the default: we keep using only the cookieless visit counting described above, and the full analytics script, analytics cookies and session replay stay off. We store your choice so that we do not ask again on every page.
Cookies and storage on our website
| Name | Type | Set by | Purpose | Duration |
|---|---|---|---|---|
instione_consent |
Essential cookie (first-party) | Instione | Remembers whether you accepted or rejected analytics, and the version of this policy you saw | 6 months |
ph_…_posthog |
Analytics cookie and localStorage entry | PostHog, only after “Accept analytics” | A random identifier that recognises repeat visits and links a session replay | Up to 1 year |
__cf_bm |
Essential security cookie | Cloudflare, if its bot protection is triggered | Tells people and bots apart, to protect the site | 30 minutes |
When this page’s version changes in a way that affects your choice, the website asks you again.
Services that load only when you use them
- Cloudflare Turnstile (the bot check on our contact form) loads only when the form is shown. It is essential to protect the form from spam. It checks signals from your browser and device to tell people and bots apart; Cloudflare says it does not use Turnstile data to track you across sites or for advertising.
- Cal ID (demo booking) loads only after you click “Book a demo”. Once loaded, Cal ID may set its own cookies, which are covered by Cal ID’s own policies.
In the Instione app
The app at manage.instione.com uses essential cookies to keep you signed in and to protect your account: a session cookie that scripts in the browser cannot read, and a cross-site request forgery (CSRF) protection cookie. They last until you sign out or your session expires, and the app cannot work without them.
The app also uses PostHog product analytics for signed-in institute staff, as described in our Privacy Policy. It stores an identifier in a cookie and a localStorage entry named ph_<project>_posthog. Session replay is turned off in the app, so your screen is never recorded. The app also sends error reports when something unexpectedly goes wrong, to help us find bugs; they are designed not to include the contents of your records. It is not used to track students or children and is never used for advertising.
How to change your choice or withdraw consent
- Use the “Privacy choices” link in the footer of any page on instione.com to reopen the banner and switch between “Accept analytics” and “Reject” at any time. You can withdraw consent as easily as you gave it; when you do, we stop loading the analytics script from the next page.
- You can also delete cookies and site data in your browser’s settings. If you delete
instione_consent, we will ask for your choice again. - To ask us to delete analytics data already linked to your identifier, email [email protected].
Changes to this page
We update this page when we change the cookies or tracking we use. The version and effective date are at the top. When a change affects your consent, the website will ask for your choice again.
